More systems, less overview?
Application data is entered repeatedly, handovers are unclear and employees cannot tell which information is authoritative. More features alone cannot solve this. First clarify how a personnel process should work and who owns it.
From process to tool
We examine a process from staffing needs through recruitment and onboarding to development. ERP, HR software and tools are assessed by their role: which data is necessary, who uses it and which handovers need coordination? Employee experience guides clarity and usability.
AI is a possible aid, not an end in itself. Its use must fit the task, quality requirements and responsibility. Decisions about people must not be delegated thoughtlessly to a system. Legal, privacy and technical questions are clarified with the responsible specialists.
Introduction also means change management
New processes change habits and responsibilities. We combine technical consideration with communication, participation and user support. Improvements should be evident in concrete working situations. A circular email cannot create acceptance.
Following the whole application process
Trace one application from arrival to response. Where is information duplicated, who can access it and who makes each decision? This reveals useful technical support and questions of responsibility or communication that must be clarified first.
- What information does the next participant actually need?
- What feedback does the applicant receive at each stage?
- Where must a person remain responsible for quality, judgement or decisions?
Connecting with the digital workplace
HR processes involve documents, coordination and collaboration. Microsoft 365 can be considered where applications and conditions fit. A personnel platform and a collaboration tool serve different purposes; interfaces and responsibilities must stay understandable.
